2. Withdrawal Refund Policy

Withdrawal refunds are calculated in line with the Bow Valley Riptides Withdrawal Policy. Riptides fees for competitive groups are for the full amount listed. The commitment made upon registration is for the amount listed as "Total Fees" in Table 1. The way the payments are made — in installments or by session — does not impact the total amount owed.

In the instance of a member setting up sessional or monthly payment plans, the withdrawal fees will be calculated using the "Total Fees" less the total amount paid to date. The withdrawal fee will then be applied to this amount. If the resulting balance is greater than $0, the amount owed will be applied to the billing information on file at the time of withdrawal.

2.2 Meet Fee Policy Upon Withdrawal

Meet fees are charged based on the meets in which the athlete is entered. Members will pay meet fees as they are incurred up to the date of withdrawal. Upon withdrawal from the club, all meet fees for meets that have been completed or for which the athlete has been entered must be paid in full.

No refund of meet fees will be provided for meets that have already taken place or for which the athlete was officially entered at the time of withdrawal. Meet fees for future meets that the athlete has not yet been entered in will not be charged.

2.3 Example: Withdrawal Calculation

The following example illustrates how the withdrawal policy is applied. In this scenario, an athlete in the Performance group (Total Fees: $3,510 — $2,260 Training Fee + $1,250 Meet Fees) withdraws on November 15, having paid $1,200 to date through monthly installments.

Training Fee: The withdrawal date of November 15 falls within the November 1 to December 31 period, which carries a 30% refund. The athlete is registered in Age Group. The refund amount on the $2,260 training fee is $680. The remaining fee retained is $2,260 minus $680, which equals $1,580. Since the athlete has already paid $1,200, the outstanding training fee balance is $1,580 minus $1,200, resulting in $380 still owed.

Meet Fees: At the time of withdrawal, the athlete had been entered in three meets. Two meets have already taken place over the two months ($105 each = $210), and the athlete is entered in one upcoming meet (past the scratch deadline) ($105). Per the meet fee policy, all completed and entered meet fees must be paid in full, totaling $325. No future unentered meets will be charged.

Total Amount Owed Upon Withdrawal: $705 This amount ($380 outstanding training fee + $325 meet fees for entered/completed meets) will be applied to the billing information on file at the time of withdrawal.

3. Additional Policy Notes

The Riptides are unable to offer reduced amounts due to athlete decisions on training time. If appropriate and an athlete is moved between groups, the new fee will be applied as an addition or subtraction to the initial amount.
